Terms & Conditions

General terms for using our website and purchasing wedding video, guest media, camera rental, and related services.

Last Updated:

1. Acceptance of Terms

These general Terms & Conditions govern use of the website, inquiries, online purchases, and services provided by Coral Cactus Media, LLC DBA The Wedding Video Company (“TWVC,” “we,” “us,” or “our”). By accessing the site, submitting information, purchasing a product or service, or otherwise using our services, you agree to these Terms and any applicable service-specific terms made available to you.

Specific services may involve additional agreements or policies. These Terms do not replace a signed full-service wedding videography agreement. If these Terms conflict with a signed service agreement for a booking, that signed agreement controls for that booking.

2. Eligibility

To make a purchase or enter an agreement, you must be at least 18 years old or otherwise legally capable of entering a binding agreement. If you act for another person or organization, you must have authority to do so.

3. Our services

Our wedding and event services may include professional videography, wedding film editing, guest photo/video collection and editing, personalized upload portals and QR materials, vintage/digital camera rentals, and related creative services or products.

Deliverables, coverage, pricing, timelines, and inclusions depend on the service purchased and the applicable order confirmation or agreement.

4. Orders and booking

An inquiry does not guarantee availability or reserve a date or equipment. A booking or order is confirmed according to the applicable checkout or booking process, which may require payment, a deposit, completed checkout, and/or a signed agreement. Follow the confirmation and requirements provided for your service.

You are responsible for accurate wedding, shipping, contact, and order information. We may decline or cancel an order when reasonably necessary because of a pricing error, suspected fraud, inability to fulfill the service, or another legitimate operational reason. We will communicate as appropriate and address payments under the applicable agreement, policy, and law.

5. Pricing and payment

Prices are in U.S. dollars unless stated otherwise. Prices and offerings may change for future purchases. Confirmed orders remain subject to the pricing and terms agreed to when booked unless we agree otherwise with you.

Checkout and payments use third-party e-commerce or payment providers, including Ecwid for website checkout. You agree to provide valid payment information and authorize the payments you select or agree to. Guests Film, We Edit is $297, paid in full at checkout. Other services may involve a deposit, installments, or payment in full.

Cancellations, refunds, rescheduling, and related payment matters are governed by any applicable Cancellation & Refund Policy provided for your purchase and/or service agreement, together with applicable law.

6. Full-service wedding videography

Full-service bookings may require a separate signed contract addressing the wedding date, coverage hours, locations, deliverables, payment schedule, travel, cancellation/rescheduling, copyright or license rights, production timelines, and other booking-specific matters.

That signed agreement controls wherever it conflicts with these general website Terms. Nothing here changes specifically agreed coverage or deliverables.

7. Guests Film, We Edit

This service provides tools and services for guests to submit photos and videos for collection and editing. We cannot guarantee that every guest will participate or that submissions will have a particular quantity, quality, orientation, resolution, audio quality, or type of footage.

The finished film depends partly on the media supplied. We use reasonable editorial and creative discretion to select and edit footage; not every submitted photo or video will appear in the finished film. Estimated film length is not an exact frame-by-frame guarantee unless expressly stated otherwise in the order. Specific agreed deliverables still apply.

Customers should download and maintain their own copies of delivered media after receiving access. Guest submissions may also be subject to separate Guest Upload / Media Submission Terms when provided for the service.

8. Creative and editorial discretion

Filmmaking and editing are creative services. Within the agreed scope, we make professional decisions about shot and media selection, editing, pacing, music, color, audio, story structure, and overall presentation. This discretion does not permit us to disregard specific contractual promises or agreed deliverables.

9. Turnaround times and estimated timelines

Website and communication timelines for turnaround, delivery, shipping, production, and editing may be estimates unless expressly guaranteed in a signed agreement. Delays may result from customer delays, late guest uploads, technical issues, shipping carrier delays, high production workload, unforeseen events, or circumstances reasonably outside our control.

We remain responsible for performing services reasonably, honoring applicable commitments, and communicating material changes as appropriate. Estimated timelines do not waive any shipping notices, cancellation options, refunds, or other obligations required by applicable law.

10. Customer responsibilities

  • Provide accurate contact, wedding/event, shipping, and order details.
  • Respond to necessary requests and supply requested materials by applicable deadlines.
  • Obtain appropriate venue or other third-party permissions when necessary for the agreed service.
  • Follow service-specific instructions, including any applicable Camera Rental Terms.
  • Download and back up delivered media within communicated retention periods.

11. Intellectual property

The TWVC website, branding, logos, design, copy, and other proprietary site content are owned by or licensed to Coral Cactus Media, LLC. You may use the site for its intended purposes, but may not copy or commercially exploit proprietary content without permission or another lawful basis.

Customer wedding media and commissioned deliverables are distinct from website content. Ownership and license rights for specific films or other commissioned work may be addressed in the applicable service agreement or order terms. These general Terms do not impose a different ownership arrangement on work covered by a signed agreement.

12. Customer-submitted materials

When you provide photos, videos, logos, music, graphics, text, or other materials for your service, you represent that you have the necessary rights or permissions for us to use them for the requested service. This permission is for carrying out that service and does not itself grant an unrelated promotional-use right. Guest submissions may have separate submission terms.

13. Third-party services

We rely on providers for payment processing, e-commerce, cloud/file storage, website hosting, shipping, email/text communications, analytics, and other operations. Current examples include Ecwid, Dropbox, and Netlify.

Third parties have their own terms and policies. To the extent permitted by law, we are not responsible for unrelated providers’ independent policies or services. This does not remove our responsibilities under your agreement or applicable law.

14. Vintage camera rentals

Camera rentals are subject to separate Camera Rental Terms when provided for the rental. Those terms may address the rental period, returns, shipping, loss, damage, late returns, equipment care, replacement charges, and technical issues. Refer to the terms supplied for your rental rather than treating this page as a complete rental agreement.

15. Cancellations and refunds

Cancellations, refunds, rescheduling, and related payment issues are governed by any applicable Cancellation & Refund Policy provided for the order and/or the service agreement, subject to applicable law. This page does not set refund percentages, cancellation deadlines, deposit rules, or fees.

If a separate policy has not been provided for your order, contact us to clarify the terms before purchasing. These references do not create additional rules or incorporate a future policy retroactively.

16. Website availability and errors

We try to keep website information accurate, but occasional errors or outdated information may occur. Website availability is not guaranteed to be uninterrupted. We may correct typographical, pricing, or technical errors. Corrections do not automatically change an existing confirmed order or signed agreement; order issues will be addressed with you under applicable terms and law.

17. Prohibited use

Please do not use the website or services for illegal activity, fraud, impersonation, unauthorized access, introducing malware, interfering with website operation, misusing upload systems, or infringing intellectual property or other rights.

18. Disclaimer and limitation of liability

The website is provided for information and access to our services. We do not promise uninterrupted website access or that circumstances outside our reasonable control will never affect a service. Our agreed service obligations remain in place.

To the extent permitted by applicable law, TWVC is not responsible for indirect, incidental, special, or consequential damages arising from use of the website or services. This limitation does not exclude liability or obligations that cannot legally be waived, including liability for fraud, willful misconduct, or gross negligence where such exclusions are prohibited. Any applicable signed service agreement and mandatory consumer protections still apply.

19. Events beyond reasonable control

Extraordinary events beyond our reasonable control—such as severe weather, natural disasters, government actions, transportation interruptions, major technology or service outages, or serious illness or emergencies affecting performance—may delay or prevent performance.

When affected, we will take reasonable steps to notify you, reduce disruption, and discuss available options under the applicable agreement and law. This provision is not an unlimited cancellation right and does not automatically eliminate payment, refund, or other obligations.

20. Responsibility for misuse and submitted materials

To the extent permitted by law, you agree to indemnify TWVC for reasonable losses, costs, and expenses, including reasonable legal fees, arising from a third-party claim directly caused by your unlawful misuse of the website, material violation of these Terms, or infringement by materials you submit without necessary rights.

This applies only to the extent the claim is caused by your conduct, not by our negligence or misconduct. We will give reasonable notice of a claim and an opportunity to participate in its defense, and will not agree to a settlement imposing obligations on you without your consent.

21. Governing law

These Terms are governed by Arizona law, without regard to conflict-of-law rules, except where applicable law requires otherwise. Nothing here limits mandatory protections that apply in your jurisdiction.

22. Changes to these Terms

We may update these Terms from time to time. Updates take effect when posted or on another stated effective date, and we will revise the “Last Updated” date. Review the current Terms when making a new purchase or using the website.

Material changes do not automatically override an existing signed booking agreement or retroactively change confirmed order terms. Changes to those agreements require the process specified in the applicable agreement or otherwise required by law.

23. Severability

If a provision is found invalid or unenforceable, the remaining provisions continue to apply to the extent permitted by law.

24. Relationship to other agreements

These general Terms work together with applicable order details, signed service agreements, the Privacy Policy, and any applicable Cancellation & Refund Policy, Camera Rental Terms, or Guest Upload / Media Submission Terms made available and applicable to your purchase or use.

A signed service agreement may include additional or controlling terms for a specific booking and controls in the event of a conflict. Service-specific order terms apply to that service where consistent with the signed agreement. The Privacy Policy explains information handling; it does not replace service promises. Future policies do not automatically change existing bookings.
