Camera Rental Terms

What to expect when renting wedding and event cameras, from delivery and use to file retrieval and returns.

Last Updated:

1. Acceptance of rental terms

These terms govern physical camera and equipment rentals from Coral Cactus Media, LLC DBA The Wedding Video Company (“TWVC,” “we,” “us,” or “our”). By purchasing, accepting, receiving, or using rental equipment, you agree to these terms together with our Terms & Conditions and Cancellation & Refund Policy.

The customer entering the rental must be at least 18 and legally capable of entering the agreement. You are responsible for ensuring that people you allow to use the equipment follow these terms.

2. Rental equipment

Packages may include digital photo or video cameras, memory cards, USB-C cables, charging adapters, protective packaging, and other listed accessories. Your order, product description, and packing list determine the exact equipment and which items must be returned.

Reusable rental equipment remains TWVC’s property. Printed QR signs and other materials intended for you to keep do not need to be returned unless we specifically state otherwise.

3. Rental period

Your order, confirmation, rental instructions, or other written communication states the rental period and return-by date. Early arrival does not extend that period or change the return date.

Tender the properly packaged return to the designated carrier by the return-by date we communicate. A return is generally timely when the carrier accepts or scans it on or before that date. Keep your receipt or tracking record. Contact us as soon as possible if you anticipate a delay; extensions require approval and may involve additional rental charges.

4. Shipping to you

We use third-party shipping carriers and will make reasonable efforts to ship with enough time for arrival during your agreed rental or event period. Carrier delivery estimates are not guarantees.

Provide a complete, accurate address, apartment or unit details where needed, a location where deliveries can reasonably be received, and accurate contact information. To the extent permitted by law, we are not responsible for delays you cause through an incorrect address, failed delivery arrangements, refusal of delivery, or similar circumstances.

5. If equipment arrives late

Contact us as soon as possible about a transit delay. We may work with the carrier, provide practical replacement equipment, adjust the rental period, arrange rescheduling, or provide a partial or full refund for an affected rental that cannot reasonably be used for its intended event.

If equipment does not arrive in time to be meaningfully used for the agreed event through no fault of yours, we will provide an appropriate remedy for the portion of the rental we could not provide. We will not substitute store credit where law requires a refund. Replacement arrangements depend on what is practical; we do not guarantee overnight replacements or carrier performance.

6. Inspect equipment on arrival

Please inspect the package promptly and, before the event, reasonably check that:

  • Expected cameras and required accessories are present.
  • Equipment appears undamaged and cameras turn on.
  • Cameras can be charged and basic photo/video operation appears functional.

Report missing, damaged, or malfunctioning equipment as soon as reasonably possible, preferably before the event. We may request photos or video to help assess the issue. You are not responsible for damage or defects already present when equipment arrived.

7. Charging and preparation

Cameras may need charging before your event; we do not guarantee arrival at a particular battery percentage. You are responsible for reasonably charging them before use.

Follow our instructions and use included or compatible charging equipment. Avoid damaged cables or chargers. Do not open, modify, remove, or replace internal batteries unless we specifically instruct you to do so.

8. Care of equipment

Exercise reasonable care while equipment is in your possession:

  • Protect it from drops, impacts, extreme heat, and other damaging environments.
  • Avoid liquids, rain, pools, and moisture unless we specifically identify equipment as designed for that use.
  • Do not disassemble, attempt repairs, or modify firmware or internal hardware.
  • Do not intentionally damage or alter memory cards or remove identifying labels or ownership markings.
  • Do not sell, pawn, permanently transfer, or dispose of rental equipment.

Normal wear from reasonable wedding or event use is not damage.

9. Use by wedding guests

Our cameras are intended to be shared naturally with wedding and event participants. You may let guests use them, but the customer placing the rental order remains responsible for equipment during the rental period under these terms. Loss or damage is not excused solely because a guest, family member, wedding-party member, venue employee, or another person was using it.

10. Lawful and appropriate use

You are responsible for following applicable privacy, recording, venue, and other laws. Do not use cameras for illegal activity, harassment, prohibited secret recording, or recording in bathrooms, changing rooms, or other areas where people reasonably expect privacy.

11. Memory cards and recorded files

Cameras may use removable or internal storage. Do not erase, reformat, intentionally modify, or remove supplied memory cards unless we specifically instruct you.

When supported, you may copy files to your own device using provided USB-C cables or another supported method. Copy files rather than moving or deleting originals. If we are expected to retrieve and deliver your media, do not intentionally delete wedding files from the cameras before returning them.

12. Our retrieval of camera files

Where your purchased service includes file retrieval or we otherwise offer it, we may copy photos and videos from returned cameras to your applicable cloud-storage folder or another delivery location. We will make reasonable efforts to retrieve and transfer readable files.

Digital media can be lost, corrupted, accidentally deleted, damaged, or otherwise unrecoverable. We cannot guarantee recovery of every file when storage or files are corrupted or damaged through circumstances outside our reasonable control. Making your own copies when practical is encouraged, but does not replace our obligation to transfer files when that service was promised.

13. Equipment or file failure

We reasonably inspect and prepare equipment, but electronics can occasionally malfunction. Tell us as soon as reasonably possible if a camera or accessory materially fails during normal use through no fault of yours, or if there is a file-retrieval problem.

Depending on the circumstances, we may provide troubleshooting, practical replacement equipment, a partial refund for an affected item, a full refund of an item that was unusable, or service credit if mutually agreed. Remedies will reasonably correspond to the affected portion of the rental. We do not promise reimbursement for consequential expenses, such as a last-minute replacement videographer, unless expressly agreed; remedies required by law remain available.

14. Damage

You are not responsible for ordinary wear, pre-existing cosmetic damage, mechanical or electronic failure you did not cause through misuse, or damage while equipment was under our control.

You may be responsible for reasonable repair costs for damage caused by negligent handling, significant drops or impacts, liquid exposure, misuse, unauthorized modification or disassembly, or other conduct beyond ordinary reasonable use. If an item can reasonably be repaired, responsibility is generally limited to reasonable repair costs and directly related expenses rather than automatic full replacement cost.

15. Lost, stolen, or destroyed equipment

If equipment is lost, stolen, destroyed, or damaged beyond reasonable repair while it is your responsibility under these terms, you may be responsible for its reasonable replacement cost, subject to applicable law. Your responsibility generally begins when you receive equipment and ends when you properly hand it to our designated return carrier as described below.

Replacement cost reflects the reasonable cost of the same or a comparable item, with appropriate directly related replacement expenses. It is not a penalty. Report theft promptly; we may reasonably request available information, including a police report where appropriate to the circumstances.

16. Missing accessories

Return all items identified as returnable on your packing list or instructions, which may include cameras, memory cards, charging accessories, cables, and other reusable items. For a missing returnable accessory, we may request its return or invoice its reasonable replacement cost. You will not be charged for disposable or keepsake items intended for you to keep.

17. Payment authorization for additional amounts

If amounts become due for approved extensions, missing equipment, repair, or replacement, we may invoice you or collect payment through a method you authorize. We may charge a stored payment method for these amounts only if you separately provide appropriate authorization. These terms do not themselves authorize unspecified automatic card charges.

18. Late returns

Timely returns matter because equipment may be reserved for another wedding. If you miss the communicated carrier handoff date without an approved extension, additional rental or late-return charges may apply, subject to applicable law.

Charges may reasonably reflect the extended rental period, added shipping or handling costs, or losses caused by equipment being unavailable for a subsequent confirmed rental. If lateness causes us to lose or refund such a rental, we may seek reasonable documented costs to the extent permitted by law. Charges will be proportionate rather than punitive.

19. Return shipping

Use our prepaid return label when one is supplied unless we instruct otherwise. Please:

  • Repack equipment securely with all returnable accessories.
  • Reuse supplied protective packaging where reasonably possible, or use reasonably protective replacement packaging if it is damaged or unusable.
  • Seal the package, attach the supplied label, and tender it to the designated carrier by the return-by date.

You do not need to reproduce the exact original packing arrangement. We may include tape or other supplies as a convenience, but suitable packing remains important whether or not those supplies are included.

20. Return shipping risk

Once a properly packaged rental is timely accepted or scanned by our designated carrier using our return label, you generally are not responsible for the carrier’s subsequent transit delay or loss or damage not caused by you. Keep evidence of handoff so we can investigate carrier issues.

You remain responsible for loss or damage caused by unreasonable packaging, an unauthorized shipping method, or failure to follow reasonable return instructions, to the extent permitted by law.

21. Rental extensions

Contact us before the scheduled return date if you want more time. Extensions require our approval, depend on availability, are not guaranteed, and may require additional payment. Applicable order or product pricing and the approved extension details control.

22. Cancellation

See our Cancellation & Refund Policy. Eligibility may depend on whether equipment has been reserved, prepared, packed, committed to fulfillment, or shipped, and any specifically incurred non-refundable expenses.

After shipment, rental fees are generally non-refundable except as provided in that policy, required by law, or when we fail to provide the agreed rental service. This section does not create a separate cancellation fee or replace that policy.

23. Delays before shipment

If we learn that we cannot ship in time to reasonably provide the agreed rental service, we will contact you promptly. We will offer an appropriate option such as an agreed revised arrangement, a reasonable replacement, or cancellation and a refund for the affected rental if we cannot provide it. You will not be forced to accept substantially delayed equipment that cannot serve your intended event.

24. Equipment substitution

If a specific rented model unexpectedly becomes unavailable, we may propose a comparable replacement and communicate the change. We will not use this provision to send materially different equipment without notice. If the replacement materially changes the service and you do not reasonably accept it, we will offer an appropriate refund for the affected rental.

25. Responsibility for event coverage

Rentals are self-service, guest-operated products. Unless your package separately includes professional videography, a rental does not include an on-site camera operator. You are responsible for distributing and using cameras at the event.

We cannot guarantee guest participation, frequency of use, the number of images or videos, composition, lighting, audio, focus, framing, creative quality, or capture of important moments. This does not remove our responsibility for equipment malfunction or the remedies described above.

26. Limitation of liability

Consistent with our general Terms & Conditions and to the extent permitted by law, TWVC is not responsible for indirect, incidental, special, or consequential losses from rental use or circumstances outside our reasonable control. A malfunction does not automatically make us responsible for the entire financial value of an event.

Direct remedies for equipment or services we fail to provide remain available as described here. This limitation does not waive non-waivable rights or remedies, liability that cannot legally be excluded, or consumer protections, including applicable protections for personal injury.

27. Ownership

All reusable rental equipment remains the property of Coral Cactus Media, LLC DBA The Wedding Video Company. Possession during a rental does not transfer ownership. You may not sell, pawn, permanently transfer, dispose of, or claim ownership of our rental equipment.

28. Relationship to other policies

These terms work together with our Terms & Conditions, Cancellation & Refund Policy, Privacy Policy, order and product details, and any other agreement specifically applicable to your rental.

If a specific written rental agreement or order expressly provides different terms, those more specific applicable terms may control, subject to applicable law.

29. Governing law

Arizona law governs these terms, except where another applicable consumer-protection law must apply. Nothing here waives protections that cannot legally be waived.

30. Changes to rental terms

We may update these terms for future rentals and will revise the “Last Updated” date when material changes are made. Changes posted after your rental purchase do not retroactively rewrite material terms of that existing rental.
