Information you provide

Coral Cactus Media, LLC DBA The Wedding Video Company (“we,” “us,” or “our”) collects information you provide when you inquire, book, purchase, use our services, or contact support. This may include:

  • Your name, email, phone number, and mailing or shipping address.
  • Your wedding date, partner or spouse’s name, wedding or event details, and venue or location information.
  • Information submitted through inquiry/contact forms or checkout, order and transaction details, and customer support communications.
  • Photos and other information you supply for personalized wedding upload portals, QR-code materials, films, or related services.

Guest-uploaded photos and videos

Wedding guests and other users may voluntarily upload photos, videos, and related media through personalized upload portals. Files may contain images, voices, likenesses, and other information about people appearing in the media.

We process these files to provide services to the purchasing customer or couple. This may include organizing, storing, editing, copying, transferring, and delivering files, including through third-party cloud/file storage such as Dropbox. Uploaded media may be made available to the couple who purchased the service; uploads are not private from that couple.

Camera rentals and shipping

Vintage camera rental orders may require your name, contact information, shipping address, billing and order information, rental dates, shipping and tracking information, and communications about delivery, returns, damage, loss, or support. We share information with shipping carriers as necessary to fulfill orders and arrange returns.

Payments and checkout

We use third-party e-commerce and payment providers, including Ecwid for the website’s checkout. Payment providers process sensitive payment credentials under their own privacy practices. When card details are handled directly by a payment provider, we do not need to receive or store complete credit or debit card information. We may receive order details, payment status, and transaction records needed to manage your purchase.

How we use information

  • Respond to inquiries, provide quotes, and process bookings, orders, and payments.
  • Create personalized wedding upload portals and design QR-code materials.
  • Edit and deliver wedding films, and organize and deliver original guest media.
  • Fulfill and ship camera rentals and manage returns.
  • Provide customer service and send service communications and reminders about orders, weddings, payments, uploads, rentals, or returns.
  • Improve our website and services, prevent fraud, protect security, maintain business records, and comply with legal obligations.

Email and text communications

When you provide contact information and communicate with us, we may respond by email or text and send messages about your inquiry, booking, or order. These service messages are different from promotional or marketing messages.

If you receive promotional communications, you can opt out using any instructions included in the message or by contacting us using the details below. We may still send necessary transactional or service messages about an active order or booking.

Cookies, analytics, and advertising

Our website may use cookies, analytics tools, advertising/measurement technology, and similar technologies. These can collect browser and device information, IP address, pages viewed, referring pages, website interactions, approximate location derived from IP or device information, and advertising or conversion activity.

The site uses Meta Pixel to record page views and certain purchase-button interactions for advertising measurement. Meta and other third-party providers may collect browsing and activity information over time and across websites or services, and may use it under their own privacy policies, including for advertising.

You can manage cookies and tracking through your browser settings and relevant providers’ privacy or advertising settings. Blocking these technologies may affect website or checkout features. The website does not currently change its tracking behavior in response to browser “Do Not Track” signals or automatically apply other browser privacy signals such as Global Privacy Control.

Service providers and other disclosures

We may provide information to third parties when reasonably necessary to operate our business, including website hosting and form processing (Netlify), cloud/file storage (Dropbox), e-commerce and payment processing (including Ecwid), email/text communications, analytics and advertising (including Meta), shipping carriers, and business software/service providers. Olivia uses third-party AI technology from OpenAI.

Providers may process information under their own privacy policies and terms. Information may also be disclosed when necessary to comply with law, resolve disputes, prevent fraud, or protect people, property, and our services. Third-party websites linked from our site have their own privacy practices.

We do not offer customer contact lists for sale. However, disclosure of online activity to advertising providers, including through Meta Pixel, may be considered “sale” or “sharing” under some state privacy laws. The definitions and any applicable rights depend on the law and whether it applies to our business.

Olivia and AI chat

Information you voluntarily submit through Olivia, our AI virtual assistant, may be processed by us and third-party technology providers to respond to you. A limited conversation history is kept in your current browser tab to maintain context as you navigate. Inquiry details you choose to confirm are submitted to our team through our form-processing providers.

Please avoid sharing sensitive information in chat. AI conversations are not confidential legal or professional communications. Responses may be AI-generated and do not confirm availability, pricing, a booking, or contractual terms.

How long we keep information

We retain information for as long as reasonably necessary to provide services, maintain business and accounting records, resolve disputes, and meet legal obligations. Retention varies with the type of information and service.

For Guests Film, We Edit, our general practice is to maintain the couple’s Dropbox folder for approximately one year after the wedding and communicate before removing files when practicable. Timing may vary with operational needs and circumstances; this is not a guarantee that every file will remain available for a specific period. Please download delivered media and maintain your own copies.

Security

We use reasonable administrative, technical, and organizational safeguards to protect information. No electronic storage or transmission system can be guaranteed to be 100% secure.

Children’s privacy

Our services are intended for adults arranging weddings and events and are not directed toward children. We do not intend to collect account or contact information directly from children under 13. Children may appear incidentally in wedding or event media submitted by adults or guests; we process that media to provide the customer’s services. Contact us if you believe a child has directly provided personal information so we can review and address it.

Privacy requests and California disclosures

You may contact us using the business email below to ask about your personal information or request access, correction, or deletion. We may need to verify your identity and the scope of your request. Some information may need to be retained for service, recordkeeping, dispute resolution, or legal reasons, and we cannot control copies of media already delivered to others.

Privacy rights vary by jurisdiction. California residents can review the sections above for the categories of information we collect, the types of third parties that may receive it, and our tracking practices, including third-party collection of online activity and our response to browser privacy signals. The applicability of the California Consumer Privacy Act and other privacy laws depends on their requirements and business thresholds; this policy does not assume that every provision applies to our Arizona-based business.

Changes to this policy

We may update this Privacy Policy from time to time. We will publish changes on this page and update the “Last Updated” date when material changes are published. Please check this page for the current policy.
