This policy applies to purchases and bookings with Coral Cactus Media, LLC DBA The Wedding Video Company (“TWVC,” “we,” “us,” or “our”). Cancellation and refund options vary by service and the work already performed.
If a signed service agreement conflicts with this general policy, the signed agreement controls for that booking. All provisions are subject to applicable law; nothing here waives rights or remedies that cannot legally be waived.
1. Full-service videography: client cancellation
Within 60 days of signing
If you cancel within 60 days after signing the applicable service agreement, payments and deposits may generally be refunded, less reasonable, non-refundable expenses already incurred specifically for your booking. These may include non-refundable travel, purchased materials, subcontractor costs, or substantial pre-production expenses. Deductions must relate to the booking, not unrelated business overhead.
The signed agreement determines eligibility and processing time. Some existing agreements allow up to 60 days after a qualifying refund request for the refund to be fully issued, except where applicable law requires otherwise.
More than 60 days after signing
Payments already made are generally non-refundable, subject to your signed agreement and applicable law. We may offer service credit equal to the applicable amount paid toward a rescheduled wedding, another event, or another qualifying personal or business videography service.
Under agreements using this cancellation structure, credit may generally be used for services occurring within 180 days before or after the original event date, subject to availability, mutual agreement, additional travel or service costs, and the signed agreement. Moving to a particular date is not automatic. Any remaining unpaid obligations are governed by your signed agreement.
2. Rescheduling full-service videography
Notify us in writing as soon as reasonably possible if your wedding or event date changes. We will make reasonable efforts to accommodate a new date, subject to availability, location, travel requirements, staffing or shooter availability, additional expenses, and your signed agreement.
Payments can generally transfer to an approved rescheduled date when the agreement permits. If we cannot accommodate your proposed date, the agreement’s cancellation terms govern.
3. Full-service no-show or abandoned event
If a scheduled full-service wedding or event does not occur as arranged and we receive no prior cancellation or rescheduling notice, payments already made are non-refundable, subject to the applicable signed agreement and law. Remaining payment obligations are governed by that agreement. This section applies to scheduled full-service videography.
4. If The Wedding Video Company must cancel
If serious illness, injury, an emergency, vehicle failure, critical equipment failure, or another circumstance reasonably outside our control prevents us from fulfilling a full-service booking as arranged, we may first make reasonable efforts to arrange a suitable qualified replacement videographer or shooter.
If a replacement is accepted, they may capture the event while TWVC remains responsible for editing and delivering the contracted films, depending on your agreement. If no suitable replacement can reasonably be arranged, or you decline a proposed replacement where your agreement allows, we will refund payments made for the affected videography services as provided by that agreement.
Some existing agreements allow up to 30 days to complete this refund. Your signed agreement controls, except where applicable law requires otherwise.
For other products or services, if we cannot provide what you purchased and cannot provide a reasonable replacement or alternative, we will provide an appropriate refund for the unperformed portion of the order.
5. Guests Film, We Edit cancellations
Guests Film, We Edit is $297, paid in full at checkout. This is a customized service. Work may begin shortly after purchase, including creating your personalized upload portal, customizing QR codes or printed materials, setting up cloud storage, preparing customer-specific materials, communicating with you, organizing uploads, and preparing for editing.
Before customized work begins
If you request cancellation before meaningful customized work begins, we may provide a full refund.
After customized work begins
Payments attributable to work already performed and specifically incurred, non-refundable expenses may be non-refundable. When reasonable, we may offer a partial refund for unperformed work, credit toward a new wedding or event date, or a transfer to another mutually agreed event. A cash refund is not automatic. Any deduction will reasonably relate to work performed or costs incurred; we do not impose an arbitrary cancellation fee.
After the event or substantial performance
Once the wedding or event has occurred, guest media has been collected or organized, editing has materially begun, or substantial performance has otherwise occurred, the service is generally non-refundable, except where required by law or where we materially fail to provide the purchased service.
Results depend partly on guest participation and the media supplied. Low upload quantities, guests choosing not to participate, poor-quality footage, vertical or horizontal orientation, shakiness, poor lighting, poor audio, or similar factors outside our control are not ordinarily grounds for a refund after we perform the purchased service. We do not guarantee a particular quantity or quality of guest footage.
6. Concerns about finished videos
Wedding filmmaking and editing are creative services. Subjective differences in creative preference generally do not create a right to a refund after we substantially complete and deliver the agreed service.
Where your package or agreement includes revisions, reasonable revision requests should normally be used to address concerns. For full-service agreements providing this revision period, our current practice is a two-week (14-day) period after delivery of the applicable highlight film to submit requests; your signed agreement controls. Revisions are not unlimited. For Guests Film, We Edit, revisions are available only to the extent included in your order or service description.
This rule for subjective dissatisfaction does not apply if we materially fail to provide the agreed service or if applicable law requires a refund or another remedy.
7. Camera rental cancellations
Before shipment
A rental canceled before equipment has shipped or otherwise been committed to fulfillment may generally be eligible for a refund. We may deduct specifically incurred, non-refundable expenses where applicable.
After shipment
Once equipment has shipped or been tendered to the carrier, rental fees are generally non-refundable, except where required by law or as addressed below. Equipment has been reserved for your dates, other rental opportunities may have been declined, and shipping or fulfillment costs have been incurred. Choosing not to use equipment after shipment or arrival does not ordinarily create a refund right.
If we cannot provide equipment
If we cannot provide the rented equipment for your agreed rental period and cannot provide a reasonable replacement or alternative, we will provide an appropriate refund for the affected rental.
Separate Camera Rental Terms, when provided for your rental, address responsibilities such as damage, loss, theft, late returns, replacement charges, and equipment care. This policy does not establish those detailed rules.
8. Shipping delays for rentals
We use third-party shipping carriers and cannot completely control transit times. We will make reasonable efforts to ship equipment so it arrives for your agreed rental or event period.
If a significant carrier delay prevents you from receiving usable equipment for the intended event, we will work with you on an appropriate remedy based on the circumstances. Options may include replacement equipment where practical, rescheduling, service credit, a partial refund, or a full refund of the affected rental when it could not reasonably be used. Carrier performance is not guaranteed, and applicable consumer rights remain in place.
9. Promotional pricing and discounts
Refunds are based on the amount actually paid. Purchasing during a promotion does not entitle you to a refund or credit based on the regular price. Credits generally reflect the amount paid unless we expressly agree otherwise.
10. Payment plans
For other services purchased on a payment plan, canceling an installment or payment-plan order does not automatically erase payment obligations already earned or still enforceable under a signed service agreement.
For services without a separate signed agreement, we will not continue charging for clearly unperformed future services after cancellation where doing so would conflict with this policy or applicable law.
11. Refund method and processing
Approved refunds generally go to the original payment method when reasonably possible. Financial institutions and payment processors may need additional time after we submit a refund.
For full-service bookings with a signed agreement, its refund timeframe governs, except where law requires otherwise. Some existing agreements permit up to 60 days for certain client-requested cancellation refunds or up to 30 days for certain TWVC-initiated cancellation refunds. These are not universal waiting periods for every order.
For orders without a separate signed agreement, we will process approved refunds within a reasonable period and in accordance with applicable law.
12. How to request cancellation, rescheduling, or a refund
Please make requests in writing so both you and our team have a record. Email us at the business email in the contact section below.
Include your name, order or booking information, wedding or event date, and what you are requesting. Please do not send full payment-card details or other unnecessary sensitive information.
13. Billing concerns and chargebacks
If you believe there is a billing or service problem, we encourage you to contact us first so we can review and try to resolve it. This does not waive or limit your legal right to dispute a charge with your payment provider.
14. Applicable law
This policy is governed by Arizona law, except where another applicable consumer-protection law must apply. Nothing here waives rights or remedies that cannot legally be waived.
15. Relationship to signed agreements
Many full-service bookings have a separate signed service agreement. If that agreement contains different cancellation, refund, rescheduling, payment, revision, or other terms, the signed agreement controls for that booking, subject to applicable law. This website policy primarily governs purchases or orders for which no separate agreement establishes different terms.
This policy works together with our Terms & Conditions, Privacy Policy, and service-specific Camera Rental Terms or Guest Upload / Media Submission Terms when provided and applicable. For other custom services, the order details and applicable agreement determine the scope of work and any different cancellation provisions.
16. Policy changes
We may update this policy for future purchases and will revise the “Last Updated” date when material changes are made. Website updates do not retroactively rewrite an existing signed agreement or the terms applicable to an existing confirmed order.
